Potentia Motus Ventures Limited

Privacy Policy

Effective and last updated: 4 October 2026

One privacy policy for our apps, websites and platforms. Read the shared practices below alongside the details for the features you use.

Privacy requests and account deletion: info@potentiamotus.biz.

1. Who we are and what this policy covers

Potentia Motus Ventures Limited, Uganda (“we”, “us”, “our”), operates the apps, websites and platforms covered by this policy. We are the controller of personal information when we decide why and how it is processed. Contact our privacy team at info@potentiamotus.biz or +256 394 306540.

This policy covers all apps and services that we own and operate, including the products listed below and additional Potentia Motus products that link to this policy. The information handled depends on the product, platform, version, features you use and permissions you grant. A category described here does not mean every app collects it.

When a business, employer, landlord or other organization uses our software to manage information about you, that organization may be the controller and we may process its records on its instructions. Its privacy notice and our agreement with it also apply. Contact the organization about those records; we can help route your request. Independently operated client products and external services have their own privacy notices.

2. Information we handle and where it comes from

Information you provide: names, email addresses, phone numbers, profile photos, account details, preferences, support correspondence and content you enter, capture, import, upload or share. Sign-in providers may supply your identifier, name, email address and profile image according to the permissions you grant.

Finance and payments: budgets, income, expenses, transactions, savings goals, assets, liabilities, subscriptions, merchant shortcuts, payment references and purchase or entitlement status. Payment providers and app stores process payments under their own notices. For store purchases we receive transaction and entitlement information rather than your full card details. Do not send us mobile-money PINs, bank passwords or payment authentication codes.

Documents and media: scans, PDFs, photos, business cards, notes, document categories and text extracted through optical character recognition (OCR). Documents you choose to store can contain identity, financial, health or other sensitive information.

Business, property and field records: customer, staff, tenant and supplier details; sales, inventory, rent, attendance, maintenance, assignments, field submissions, attachments and operational reports entered by you or your organization.

Mobility and marketplaces: vehicle profiles, registration and insurance information, maintenance and fuel logs, trip requests and routes, pickup and destination details, wallet records, listings, vendor contact details, messages, ratings and verification material where the feature requests it.

Communications and community: phone numbers you enter, contact groups you choose to import, message templates, recipients, delivery information, chats, community posts, prayer requests and related content. Faith or health content you provide may reveal sensitive beliefs or health information; share only what you intend the chosen audience to see.

Technical information: IP address, device and browser type, operating system, app version, language, session and account identifiers, security logs, usage events, crash reports and performance diagnostics. Where advertising is enabled, ad providers may also receive advertising identifiers, approximate location and ad interaction information, subject to applicable consent requirements.

Location: approximate or precise device location when you enable a location feature, such as route matching, field reporting or vehicle tracking. We use it for the disclosed feature within the scope of your permission. Any background access requires a separate explanation and permission in the app. You can revoke access through device settings.

We receive information directly from you, from your device and enabled integrations, from sign-in and payment providers, and from other users or organizations that submit records about you. Organization administrators and other users should only submit personal information they are authorized to handle.

3. How this applies across our products

Saveify: budgeting and wealth records are stored locally for many features. For non-anonymous signed-in users, supported cloud features can synchronize profile details, preferences and budget entries through Firebase. Exports go to the destinations you choose. Firebase Crashlytics supports diagnostics, RevenueCat manages subscription entitlements, and Google Mobile Ads supports ads where enabled.

DocWallet: Document Vault: camera and selected-file access support scanning and imports. Completed scans are saved locally before cloud synchronization is queued. Account features may store documents, extracted text and metadata in Firebase; Google Drive backup applies when you enable it. A local scan and its cloud copy are separate records.

Car Zone: vehicle, document, upkeep and fuel information supports garage management and reminders. Enabled cloud synchronization uploads supported profiles and media. Active tracking uses permitted location access. Marketplace listings and the contact details you publish are visible to their intended audience.

Motu and For Hire: profiles, trip or service requests, routes where relevant, listings, messages, ratings and payment-related records support matching, communication and transactions. Details necessary to arrange a ride or service are shared with the relevant participants; public listings are visible to other users.

Field Flow, Kiosk POS, BizMan and Rent Pilot: operational, attendance, retail, customer, staff, tenant, rent and maintenance records support organization workflows. Authorized administrators and team members can access records according to the service’s roles and the organization’s settings.

Kikumi, Vehicle Tax UG and QuickPay UG: calculator inputs, vehicle valuation details, merchant shortcuts and payment instructions support the tools you choose. Opening a USSD or mobile-money flow passes the relevant instructions to your phone or telecom provider; the provider handles authentication and payment.

Bulk SMS Master and Easy Chat: entered or selected phone numbers, contact groups and message content support the communication you initiate. SMS delivery involves your carrier or enabled messaging provider. Opening WhatsApp passes the number and any prepared message to WhatsApp, whose privacy notice applies.

UgaMed, Prayerverse and Spiritual Formation Africa: reference content, saved preferences, notes and community features handle the information needed for the features you use. Reading medical guidance alone does not mean you have provided a patient record. Community posts or prayer requests can reveal sensitive information to their chosen audience.

Other Potentia Motus apps use the relevant disclosures above according to their actual features. Feature-specific notices explain additional sensitive processing before it starts. This policy does not authorize access to unrelated device data or combining private records across apps for unrelated purposes.

4. Why we use information and our legal bases

We use information to deliver requested features, authenticate accounts, store and synchronize records, enable communication and transactions, manage purchases, send service notifications, provide support, diagnose problems, protect accounts and prevent fraud, and meet legal obligations.

Where the law requires a legal basis, we rely on performance of a contract for the services you request; legitimate interests for proportionate security, support and service improvement after considering your rights; legal obligations for required records and lawful requests; and consent for processing that requires it, including certain advertising, tracking, marketing or sensitive-data uses. For special-category information where relevant law applies, we also require a permitted condition, such as explicit consent or an applicable condition for the organization providing the service.

Providing information is optional unless needed for a requested feature or required by law. Without required account, transaction or feature information, we may be unable to provide that feature. You can withdraw consent without affecting earlier lawful processing. This policy is a notice; using a service does not itself give consent to optional processing.

5. Device permissions, local storage and integrations

Camera, photos, selected files, contacts, location and notification permissions apply only to features that request them. Permission to select a file or contact is not permission to upload your entire library or address book. Manage or revoke permissions in your device settings; some features may then stop working.

Data that stays on your device is distinct from information transmitted to us or a provider. Cloud sync, backups, online processing, sharing and exports can move information off the device. Local data may be lost when app data is cleared or the device fails. Uninstalling an app does not delete cloud records or independent backups.

Connected services receive the data needed for the action you initiate. You can disconnect integrations through available app or provider controls. Disconnecting access does not necessarily delete copies already created with the provider.

6. Who receives information

Service providers receive information needed for hosting, authentication, storage, diagnostics, subscription management, payment processing, messaging and support. Depending on the product these include Google Firebase and Google Cloud, Google or Apple sign-in, Google Drive for enabled backups, RevenueCat for supported subscriptions, Google Mobile Ads where ads are enabled, app stores, and the telecom or payment provider you use. Not every provider is used in every app.

Other users receive content you publish or share and information necessary for the interaction you request. Organization administrators receive records within their authorized workspace. A public listing or community post may be copied by its audience; avoid publishing private documents or details you do not want others to retain.

We may disclose information where legally required, to investigate abuse or protect rights and safety, or in a merger, acquisition or asset transfer with appropriate safeguards and required notice. We do not sell your private financial records or document contents to data brokers. Advertising-related disclosures are explained below.

Provider notices: Google, Firebase, Apple, RevenueCat.

7. Cookies, analytics, advertising and marketing

Websites and apps may use cookies, local storage and similar technologies to maintain sessions, remember settings and secure the service. Where enabled, diagnostics and analytics help measure reliability and usage. Non-essential cookies, personalized advertising and tracking require consent where applicable; essential storage is used to deliver requested functions.

Apps with ads may send identifiers, technical signals and ad interactions to advertising providers. Their use for personalized or cross-context advertising can constitute “sale” or “sharing” under some privacy laws, even without a monetary payment. Use available consent controls and device advertising or tracking settings, or contact us to exercise any applicable opt-out right. Refusing optional tracking does not remove access to core features.

You can unsubscribe from promotional messages through the message’s unsubscribe method or by contacting us. Necessary security, purchase and account messages may still be sent. Third-party websites and apps, including WhatsApp and app stores, operate under their own privacy notices.

8. Retention and deletion

We retain information only for as long as needed for its purpose. Account and synchronized content are generally retained while you use the service or until deletion; diagnostics and support records are retained according to operational and security needs; transaction and compliance records may need to remain for legally required periods. Retention depends on the record, service, legal obligations and unresolved disputes rather than one period for all apps.

Delete supported content or your account through the app where available. You can also request deletion without reinstalling the app by emailing info@potentiamotus.biz with the subject “Privacy / account deletion”, the app name and the email or phone number associated with your account. Specify whether your request concerns one app or all our services. Do not include passwords, PINs or identity documents in your initial email.

We may verify your identity using information proportionate to the request. We delete or de-identify eligible information from active systems; backups expire through their normal retention cycle. Information kept for legal, security or dispute purposes is restricted to those purposes. We explain any applicable exception when responding. Records controlled by an organization may require its instructions.

Deleting an account does not cancel app-store subscriptions, remove exports or copies held by other users, or necessarily erase your device’s independent backups. Manage subscriptions with the store and delete independent copies through their respective controls.

9. Security and international processing

We use reasonable technical and organizational safeguards appropriate to the information, including access controls and secure transmission for online services. No system is completely secure. Keep your device, credentials and recovery methods protected and report suspected unauthorized access to us.

We operate in Uganda, and our providers may process information in other countries, including the United States. Where applicable law requires safeguards for transfers, we use an appropriate lawful transfer mechanism, such as contractual safeguards or an applicable adequacy decision. Contact us for information about safeguards relevant to your data.

10. Your choices, rights and complaints

Depending on applicable law, you can request access and a copy of your information, correction, deletion, portability, restriction of processing, or object to certain processing, including direct marketing. You may withdraw consent, exercise applicable advertising sale/sharing opt-outs, and ask about significant automated decisions affecting you. Where legally applicable, you may request human review and challenge such a decision.

Email info@potentiamotus.biz with the app name and your request. We respond within applicable statutory time limits, verify identity where necessary, and explain limitations or grounds for refusal. An authorized representative may contact us with proof of authority. We will not discriminate against you for exercising your privacy rights.

Ugandan users may raise concerns with the Personal Data Protection Office at pdpo.go.ug. EEA and UK users may complain to their local supervisory authority. Other users may contact their relevant privacy regulator. You do not have to contact us before raising a complaint.

11. Children and sensitive information

Our general-purpose consumer services are not directed to children under 13 or below a higher age required by applicable law. If a service is specifically intended for children or an organization handles children’s records, additional notices, lawful authorization and appropriate safeguards must apply to that use. A parent, guardian or organization can contact us about a child’s information or request its deletion, subject to applicable law.

Contact us if you believe a child has provided information without the required authorization. We will investigate and take appropriate steps. Health information, identity documents, precise location, financial records and religious beliefs require particular care; provide only what the chosen feature needs and what you are authorized to share.

12. Changes and contact

We update this policy when our practices or legal requirements change and publish the revised date here. For material changes, we provide additional notice through the relevant service or another appropriate channel where required. If a new use requires consent, we request it before that use begins.

Website visitor counter

We store a random identifier in your browser’s local storage to count that browser once. Our database retains only a hash of this identifier for deduplication and an aggregate total. We do not record your browsing history, name or email for this counter. A short-lived hash of your IP address is used to limit automated submissions; the counter does not store raw IP addresses.

The total starts when the counter is launched and approximates unique browsers, not individual people. Different devices or clearing browser storage can count again. If browser storage is unavailable, we display the total without recording a new visitor. You can clear the identifier through your browser’s site-data settings.

Website enquiries

When you use our contact form, we collect your name, email, optional phone number and organisation, area of interest, and message. We use these details to respond to your enquiry and discuss the services you request. This does not subscribe you to marketing.

Enquiries are stored in a private team inbox on our hosting infrastructure, provided through Sites and Cloudflare. If email notifications are enabled, a copy is sent to our team through our email delivery provider. Please do not include passwords, financial account details, health records or other sensitive information in the form.

For spam prevention, the service uses a daily hash of the request IP address for short-lived rate limiting; the raw IP address is not stored in the enquiry database. Enquiries are kept while we handle your request and any resulting working relationship. Contact info@potentiamotus.biz to request access, correction or deletion. If you choose WhatsApp or email links, your message is handled by those services as well.
